A positive workplace utilizes various ideas to improve the office environment. It boosts your morale, mood, drive, productivity, and mental health. Your company also benefits by reducing the employee turnover rate. Therefore it’s in every employer’s best interests to ensure their workers are confident and enjoy high job satisfaction. Outside of digital signage, there are some non-technology based solutions you can adopt today to help improve your office. After all, a healthy workspace also reduces the destabilizing effects of frequent absenteeism, medical claims, and workers’ compensation.

The following tips will help you nurture a happy workplace:

1. Declutter Your Workspace

A cluttered cubicle may result in mental and physical restlessness. It’s advisable to review your surroundings every morning before settling in or in the evening before leaving the office. Remove any items that are not essential to your immediate project. Drawers help you get rid of clutter by keeping these resources from the desk but within reach. Completing tasks within the set schedule can also help in keeping you organized.

These ideas to improve your office environment also apply to your digital workspace. Instead of littering your computer with project notes, use programs that help you and your team members work efficiently. They include Trello, Wrike, Asana, Basecamp, LiquidPlanner, and Zoho Projects. They offer several benefits over the traditional sticky notes that would clutter your cubicle.

Labeling is another way of getting organized that reduces the time spent searching for files and other items. Place commonly used resources in a part of the office that’s easily accessible to everyone. Other decluttering techniques include getting desk organizers, adopting an efficient filing system, and being creative with storage spaces. 

2. Work in a Comfortable Environment

If you’re feeling out of touch with your workspace, you can get more comfortable by personalizing it. This approach involves placing familiar or sentimental items such as family portraits around your office environment. Additionally, fresh scents should be among the top ideas to improve your office environment.

According to research, they improve productivity by triggering vivid emotions and memories. Examples of scents that boost your mood at work are lavender, lemon, rosemary, jasmine, peppermint, and cinnamon. You can purchase air fresheners with your preferred smell or buy fresh flowers and plants for additional esthetic benefits.

Lighting is another essential determinant of workplace comfort levels. Other than enhancing your output, natural light boosts your mood and overall health. A slight breeze also makes the environment less stuffy. If you work in an office without access to windows or optimum sunlight, you can use artificial but healthy alternatives. Warm light from strategically-placed desk lamps can create a better work environment than dull fluorescent lights.

Ensure the office temperature is conducive for all employees. A building with several workers might have a hard time satisfying everyone’s needs. Even as you conform to the required dress code, always carry warm matching blankets or sweaters.

3. Avoid Distractions

The modern work environment has several digital temptations that might affect your schedule. Most people have a habit of checking their devices for social media updates, texts, and other notifications while working. We recommend keeping them silent until you complete the most urgent tasks. Likewise, avoid opening several browsers, tabs, or using more than one device.

Studies show multitasking might be counterproductive if you intend to improve productivity. Establish a ritual that makes your workday as predictable as possible. Examples include getting to the office at the same time daily, reading and responding to emails, then handling the remaining tasks. 

While some people like working in privacy, others enjoy a little background music, conversations, and other activities. Monitor your work environment until you identify a space that makes you most productive. A clean workspace also reduces distractions. Some studies claim that keyboards could potentially harbor more bacteria than toilet seats. Consequently, schedule regular cleanups for the sake of your health and peace of mind.

4. Adopt Healthy Practices

A sedentary lifestyle can result in various long-term medical problems. Staring at screens for hours every day can affect your eyesight and have painful side effects. They include headaches, itchy eyes, blurred vision, and concentration problems. Fortunately, you can adjust your screen settings, buy computer glasses, or install anti-glare screens.

Other crucial ideas to improve your office environment include investing in ergonomic solutions. You’re at risk of suffering severe neck and back pains if you adopt an unhealthy posture while sitting for hours at your desk. If your body makes clicking sounds every time you move, it’s probably a sign of discomfort. Luckily, you can invest in scientifically researched and designed chairs, desks, and workstations.

Other than improving your balance, they result in higher productivity and overall comfort. Additionally, take care of your body by eating healthy snacks and drinking lots of water. You can treat yourself every time you hit a specific target. Remember, a hungry mind reduces your focus.

Finally, get involved in physical activities to keep your mind and body in shape. You can join a gym, do home workouts, take dance classes, go for walks, ride a bike, or engage in office-organized sports events. Studies show that moderate physical exercise reduces the risk of mental health conditions such as depression by up to 26%.

5. Take Scheduled Breaks

As much as you want to dedicate yourself to work, there’s a risk of monotony and boredom IF you overexert. It’s okay to mingle with coworkers and check your social media feeds after hitting your target. This advice is essential for remote workers who can feel isolated if they work daily in solitude.

A lunch or coffee break helps you detach briefly from your work, recharge, and approach problems from new angles. You’re allowed to celebrate small victories every time you cross an item off your to-do list.
